The opportunity

An established company serving a sizable regional market in the cemetery vault industry wanted to expand into an entirely new offering: a digital memorial service that lets families submit and publish obituaries online, then connects those obituaries to physical products through QR codes.

The concept was straightforward to describe but required customization to build. The requirements were:

  • Families needed a simple, respectful way to submit an obituary and pay for it in one sitting.
  • Staff needed to review and refine each submission before anything went public, because this is sensitive content and accuracy matters to grieving families.
  • The business needed the whole thing to run without adding administrative overhead or forcing staff to re-key information across separate systems.
  • The system also needed a hosting foundation that would stay affordable and reliable for the long haul. It was a brand-new revenue line, so it had to work cleanly from day one.

The role

Speak LLC delivered the project solo and end-to-end. That included platform architecture, custom plugin development, ecommerce configuration, the QR code system, the accounting integration, hosting strategy, and launch. One point of accountability from first requirement to go-live.

The approach

The build ran on WordPress with WooCommerce handling the shopping cart and checkout. At first glance the site looks conventional. The engineering behind the experience is not.

The central challenge was the submission workflow. The client wanted a family to submit an obituary, pay for it, and have that submission held as a draft for staff review, all as one seamless transaction. Off-the-shelf tools treat those as separate steps or didn’t capture the right information, which is exactly what creates manual reconciliation work later. To solve it, I developed a custom plugin that turns each obituary submission into a WooCommerce order. Payment, order record, and content draft become a single linked transaction rather than three disconnected tasks someone has to stitch together by hand.

From there the workflow moves through a deliberate review step. A staff member reviews the submitted obituary, edits it as needed, and approves it for publication. Nothing goes live automatically, which protects both the family and the business. On publication, the system automatically generates a QR code tied to that specific obituary. That QR code then links to physical products sold through the ecommerce shop, closing the loop between an online memorial and a tangible keepsake.

For accounting, I identified and configured a connector that automatically syncs orders and payments into QuickBooks, so the financial side stays current without anyone entering data twice.

A hosting foundation built to last

A new revenue line needs infrastructure that will hold up for years, not just through launch week. The client had been running across multiple hosting services on a setup that was larger and more expensive than the site actually required. I consolidated those services into a single environment and moved the site off the over-provisioned configuration onto one sized to its real needs. The result is a simpler footprint with fewer moving parts to manage, lower ongoing operating costs, and a reliable platform positioned to serve the site steadily over the long term.

The outcome

The site launched late last week and is now live, already processing real obituary submissions from families.

The biggest win is strategic. The client now operates a genuinely new digital revenue line built on infrastructure designed to scale with minimal staff effort per obituary. Each submission flows from payment through staff review to a published, QR-linked memorial and into the books, with no manual double-entry along the way.
